Xero Classic Expenses is retiring…
Xero Classic Expenses has been part of Xero since their early years. Although they began moving toward the current Xero Expenses product in 2018, both the the original Classic Expenses and the current product have been maintained in parallel to ensure long-term users had plenty of time to adjust. After eight years of dual support, Xero say they are now moving to complete the transition.
What’s changing?
Classic Expenses will be retired in 2 stages:
- 11 January 2027 – New Classic Expense claims will no longer be able to be created
- 11 February 2027 – Classic expense claims will no longer be able to be edited, approved or deleted.
Historical data is not going anywhere. Immediately after retirement, Classic Expenses will be view-only.
What you need to do
If you are still a Classic Expenses user, before 11th February 2027 make sure you have:
- Submitted any draft Classic Expense claims
- All Classic Expense claims have been approved or declined
- Decided how expenses will be managed going forward
Managing expenses after Classic Expenses is retired
Available alternate options include:
- Xero Expenses – Xero’s current expenses product, supporting submission, approvals and reimbursements, including via the Xero Me app. Depending on your current subscription, your number of active users and usage, there may be additional cost – learn more in Xero’s guide
- Xero Files – allows receipts and documents to be stored in Xero. Included in all Xero subscriptions at no extra cost, Files is not a dedicated expense management tool but may be suitable for organisations which currently have low expense claim usage.
- Third-party apps – if you prefer an external expense tool, you can explore compatible options in the Xero App Store.
